SMS PTSA Executive Committee Responsibilities

PRESIDENT - The president shall preside at all meetings of the association, the executive committee and the executive board at which the president may be present; shall perform such other duties as may be prescribed in the bylaws or assigned by the association or by the executive board; may appoint a parliamentarian and historian with the approval of the executive board; and shall coordinate the work of the officers and committees of the association in order to accomplish association objectives.

1st VICE PRESIDENT/MEMBERSHIP CHAIRPERSON  - The vice president(s) shall act as an aide to the president and shall (in their designated order) perform the duties of the president in the absence or disability of that officer to act. The Membership Chairperson shall be responsible for organizing, promoting and implementing all efforts to increase teacher, parent and student enrollment in the SMS PTSA and is responsible for closing out membership and returning any unused PTA membership cards to the PCCPTA in March. The Membership Chairperson shall supply an active member list to the President, Secretary and Principal.  The Membership Chairperson shall coordinate the work of the Hospitality Chairperson and Student Representatives.

2nd VICE PRESIDENT/WAYS & MEANS CHAIRPERSON - The vice president(s) shall act as an aide to the president and shall (in their designated order) perform the duties of the president in the absence or disability of that officer to act. The Ways & Means Chairperson shall be responsible for researching, organizing, promoting and implementing all PTSA fundraisers. This has, in the past, consisted of a major fall fundraiser, and, if necessary, a spring fundraiser and spirit nights. The Ways & Means Chairperson shall coordinate the work of the Spirit Chairperson, Box Tops Chairperson and Volunteer Coordinator.

3rd VICE PRESIDENT/AWARDS & HONORS CHAIRPERSON- The vice president(s) shall act as an aide to the president and shall (in their designated order) perform the duties of the president in the absence or disability of that officer to act. The Awards & Honors Chairperson shall be responsible for researching and submitting applications for national, state and local PTSA awards as well as, implementing PTSA sponsored student recognition events. The Awards and Honors VP shall coordinate the work of the Reflections Chairperson.

TREASURER – The Treasurer shall have custody of all the funds of the association; shall keep a full and accurate account of receipts and expenditures; and shall make disbursements in accordance with the approved budget as authorized by the association. The treasurer shall present a financial statement at every meeting of the association and at other times when requested by the executive board and shall make a full report at the annual meeting. The treasurer shall be responsible for the maintenance of such books of account and records as conform to the requirements of Article XIII, Section 3 of the bylaws.

SECRETARY - The secretary shall record the minutes of meetings of the association and of the executive committee and board; prepare all written communications as directed by the association or by the executive board; obtain an updated list of membership to email General Meeting Minutes and Treasurer’s Report to SMS PTSA members; and shall perform such other duties as may be delegated.  The Secretary shall coordinate the work of the Publicity Chairperson, Website Chairperson and the Volunteer Coordinator. 

Standing Committee Responsibilities

(The following positions are not elected and will be appointed by the EXECUTIVE COMMITTEE)

Hospitality Chairperson - Responsible for organizing hospitality for all PTSA functions. This includes a minimum of 2 open houses,  SMS Staff Breakfast/Luncheons, Teacher Appreciation Week and other events throughout the school year.

Student Advocacy Chairperson - Responsible for researching, organizing, promoting and implementing PTSA/PTA programs for a minimum of two SMS PTSA General Meetings per school year.

Reflections Chairperson - Responsible for coordinating the SMS Reflections Program and adhering to all national, county and state requirements and deadlines. The Reflections Program is a National PTA cultural arts program that encourages millions of students across the country to explore their artistic talents.

Legislative Chairperson - Responsible for keeping SMS PTSA Executive Board updated on all legislative issues and platforms from the State and County PTA’s.  Shall serve as a liaison with local and state officials as needed and will be responsible for any legislative forums or workshops.

Spirit Chairperson - Responsible for fulfilling spirit (shirts and magnets) orders, keeping inventory and stock of spirit items approved by board/budget.

Box Tops Chairperson - Responsible for the promotion, collection, and submission of Box Tops. Also, responsible for implementing any recognition programs that improve participation.

Publicity Chairperson - Responsible for publicizing various PTSA functions, PTSA monthly newsletter, maintaining SMS PTSA Facebook page and providing entries for the SMS Newsletter. Also, responsible for updating the PTSA bulletin board in the front office on a monthly basis.

Website Chairperson - Responsible for maintaining and updating the SMS PTSA website and Facebook on a regular basis.

Volunteer Coordinator - Responsible for creating a PTSA volunteer interest list (names and contact information) to provide to the board; working with the SMS Family and Community Liaison to ensure all PTSA Board Members and volunteers are properly registered with the Pinellas County School System and they are logging their hours in Portal; assisting each committee chair with the Sign Up Genius system (requests for volunteers/donations), parent communication via the School Messenger System (phone calls/emails) and communication with the SMS front office/grade level house secretary to ensure a summary of each PTSA event/function (date, time, place, committee chairperson’s name and contact information, names of volunteers and where they are to meet).

6th Grade Celebration Chairperson - Coordinates the 6th Grade Celebration and serves as a liaison between the PTSA, 6th grade teacher representative and all 6th grade families.  Responsible for organizing celebration event including music, food, and volunteers.

7th Grade Celebration Chairperson - Coordinates the 7th Grade Celebration and serves as a liaison between the PTSA, 7th grade teacher representative and all 7th grade families.   Responsible for organizing celebration event including music, food, and volunteers.

8th Grade Celebration Chairperson  - Coordinates the 8th Grade Celebration year-end events and serves as a liaison between the PTSA , 8th grade teacher representative, and all 8th grade families.  Responsible for organizing and attending 8th grade committee meetings, selling and managing ticket sales, ordering food, booking music, and advertising the event.

Teacher Representative - Serves as a liaison between the PTSA and all students to ensure the needs of the teacher and student body are addressed and met.

Student Representative - Serves as a liaison between the PTSA and all students to ensure the needs of the student body are addressed and met
